Inautec Email Policy

This training aims to ensure that all employees understand the rules, responsibilities, and security requirements defined in INAUTEC’s Email Policy, which governs the correct and safe use of company email accounts.

It explains how employees must use corporate email professionally and securely, what content is prohibited, how to avoid risks such as malware, spam, and network overload, and how proper email usage helps protect INAUTEC’s systems, data, and reputation.

1. Policy Document

Please review the “Email Policy” (PDF) available in the QMS & ISMS MS Teams channel.

The document explains:

  • Purpose and scope of corporate email usage
  • Rules for professional and secure email communication
  • Prohibited actions (e.g., illegal registrations, offensive content, unauthorized advertising)
  • Restrictions concerning executable attachments
  • Guidelines for large distribution lists
  • Rules for handling attachments and storage
  • Requirements for project-related email archiving
  • Proper use of file servers instead of email for large files
  • Regular mailbox cleanup
  • Software update responsibilities
  • Policies on spam, phishing, and misleading virus warnings
  • Standardized subject line format for project emails

3. Awareness Test

After reviewing the policy (and optionally the video), please complete the awareness test to confirm your understanding of the E-Mail Policy.

Reviewing the policy and completing the test are mandatory for all employees who use corporate email accounts, as part of INAUTEC’s information security, compliance, and communication standards.
